When a new booking arrives, Taxi Fleet Assistant evaluates every online driver by their proximity to the pickup, their current availability and their recent job history. The system then assigns the best-matched driver automatically — or surfaces the top recommendation for the dispatcher to approve with one click.
You can override any auto-assignment at any time, reassign to a different driver or pause automatic dispatch entirely from the dispatch console settings.
In the booking queue, click the job card to open it, then select a new driver from the driver list or drag the card directly onto a different driver's row. The original driver will be notified automatically and the new driver will receive a job offer.
Open the Recurring Bookings panel from the main console menu. Click "New Recurring Job" and fill in the pickup details, frequency (daily, weekly or monthly), preferred driver (optional) and any pause periods. The system will generate each occurrence automatically at the scheduled time.
Open the Announcements panel and compose your message. Set the priority to Urgent — this pushes the message immediately to all online drivers as a high-priority notification that appears prominently in their app. Use Normal priority for routine updates and High for important but non-emergency messages.
OOT (Out of Town) and LR (Long Range) queues are separate driver queues for jobs that require a driver to travel outside your normal operating zone. Drivers who have already completed an out-of-town trip join these queues so they are prioritised for the return journey and aren't unfairly penalised in the main rotation.
Check the driver's battery and signal status in the driver panel — these are shown in real time. Ask the driver to check their phone's GPS and internet connection. If the problem persists, ask them to close and reopen the app. The app will reconnect and resume location updates automatically.
In the Admin Dashboard, go to Users & Drivers and click "Add New User". Enter the driver's name, email address and assign the Driver role. The system will send them login credentials. They will need to install the driver app on an admin-approved device before they can go online.
Go to Users & Drivers, open the driver's profile and find the Device Approval section. When the driver attempts to log in on a new device, a device approval request will appear here. Review the device details and click Approve. Once approved, the driver can access the app on that device.
Go to Compliance & Location History in the Admin Dashboard. Select the driver and choose a date range. The full GPS trail for that period will be displayed on an interactive map and available to export. All GPS history is stored permanently and is available to council licensing officers upon request.
In Financial Control, go to Driver Commission and select the driver. Enter their commission percentage. From that point, the system will automatically calculate each driver's earnings on every job. You can view a full commission audit trail per driver at any time.
Go to System & App Management in the Admin Dashboard. When a new app version is available, you'll see it listed here. Click "Push Update" to send the update to all drivers. They will receive an in-app prompt or a QR code to scan. The update takes effect in seconds without any app store intervention.
In Financial Control, go to Reports and select your date range, report type (income, expense or summary) and any filters. Click Export — the report will download as a CSV or PDF ready to share with your accountant.
The driver app is installed by your fleet administrator — it is not available on public app stores. Your administrator will provide you with a QR code to scan or a direct download link. Once installed, log in with the credentials your admin has created for you. Your device will need to be approved by your admin before you can go online.
When a new job is assigned to you, your phone will ring and a notification will appear showing the full job details — pickup address, customer name, time and any notes. Tap Accept to take the job or Decline if you are unable to take it. The dispatcher will see your response immediately.
During a job, large status buttons are always visible on your screen. Tap "On the Way" when you set off, "Arrived" when you reach the pickup, "Passenger On Board" when your passenger is in the vehicle, and "Completed" when the job is finished. Each tap updates the dispatch console and triggers any automated customer notifications instantly.
The panic button is always accessible from the main screen. Tap and hold for one second to silently send an immediate alert to all receptionists at your base, including your live GPS location. Your location continues to update every few seconds until the situation is resolved. Use it any time you feel unsafe — it makes no noise on your phone.
First check that Location Services is enabled for the app in your phone's settings and set to "Always". Make sure you have a mobile data or Wi-Fi connection. If the issue persists, close the app completely and reopen it — it will reconnect and resume tracking automatically. Contact your dispatcher if problems continue.
From the home screen, tap the Reserved Jobs tab. This shows all pre-booked jobs assigned to you in advance, including the date, time, pickup address and any special instructions. You can plan your day around these without needing to contact dispatch.
